Importing an Athlete Database

The process you’ve outlined describes how to efficiently import pre-registered athletes into RaceDay using data from BikeReg. Below is a summary of the steps involved:

1. Assign Bib Numbers in BikeReg:

  • Before registration closes, use BikeReg’s Athlete Registration tools to assign bib numbers to registered athletes.
  • Once registration is closed, download the CSV file of athlete data from BikeReg via the Download Registration Data option.

2. Download CSV from BikeReg:

  • Download the athlete registration data in CSV format. This file will contain the necessary details (e.g., name, age, category) for the athletes.

3. Import CSV into RaceDay:

  • In RaceDay, go to the Athletes drop-down menu and select the Import tool.
  • Upload the CSV file you downloaded from BikeReg.
  • RaceDay will attempt to automatically match the column headers from the CSV file to its own internal headers. This is done to ensure the data is properly imported into the correct fields.
  • If there are any columns that don’t automatically match, you can manually map the fields between the CSV and RaceDay.

4. Handling Missing Bib Numbers:

  • If any athletes in the CSV file don’t have a bib number assigned, RaceDay will assign a placeholder value (e.g., a negative number like -452).
  • After importing, use Manage Athlete tools in RaceDay to reassign the correct bib numbers to these athletes.

5. Validation Tools:

  • RaceDay offers several validation tools during the import process to ensure the data is accurate and complete. This helps catch any potential errors or missing information before the athletes are officially imported.

Key Steps:

  • Assign bib numbers in BikeReg before downloading the data.
  • Download the CSV of athletes from BikeReg.
  • Use RaceDay’s Import tool to upload the CSV.
  • Manually fix any bib number discrepancies after import if necessary.

This process makes it easier to transfer athlete registration data from BikeReg to RaceDay, ensuring a smooth transition of information for event management. Let me know if you need further clarification on any of the steps!
